Enterprise Operations Requirements Management:

We know how critical it is for an enterprise to stay on top of driving operational requirements to all of its employees across the globe. The requirement may be the need to ensure that everyone’s credentials are up to date – which would include employee permits and licenses, timely completion or refreshing of required training and certifications. It may also come down to getting all the required documents read, acknowledged and/or signed by an employee or a certain class of employees. The class of employees may be based on geography or by job classification.

ComplianSer™’s cloud based enterprise solution allows management to monitor and enforce operational requirements – in real time. The intuitive enterprise dashboard ensures appropriate levels of access while protecting personal information.

Here’s how it works

ComplianSer™ enforces electronic versions of the enterprise operational requirements (‘templates’) throughout their global network. There are two types of ‘templates’: Business-level and employee level

Business templates

These are operational requirements applicable to each location/store within the enterprise. The location manager is responsible for completing each of these requirements by logging into ComplianSer™ and providing e-signatures. These could be various location related documents that each location/store manager is supposed to read & acknowledge or a e-sign. Or it could be a business license that needs to be tracked and renewed on a regular basis.

Employee templates

These are operational requirements applicable to employees within the enterprise. These templates are applied to individuals based on their roles (e.g. a service employee or a sale employee). The employees are responsible for completing operational requirements with each of these templates by logging into ComplianSer™ and providing his/her e-signature. Similar to business templates, these could be “read & acknowledge” or a document that is required to be “e-signed”!

ComplianSer™ works with enterprise executives or operations team to create the template library using ComplianSer™’s easy-to-use template creation wizard. Each template can be created as quickly as three minutes. Employee-level templates, are applied based on role (e.g. ‘Service employee,’ ‘Sales employee,’ ‘front desk employee,’‘food handler’, ‘Driver’ etc.) and employment stage (e.g. ‘Prospect,’ ‘Hire,’ ‘Manage,’ ‘Retire’).

These libraries only need to be created once during roll-out and our staff is available to create these on your behalf. Libraries can be added to or amended easily as needed.

The tech support team at ComplianSer™ can auto-populate your company & employee data into ComplianSer™ through simple integration with your HR platform so compliance is ensured and fully automated. No manual entries or assignments required.

Transparency and risk management

Once ComplianSer™ is rolled out, the enterprise dashboard will show real-time status across their network.  The dashboard is updated in real time as employees from various locations complete their requirements.

The enterprise can also see status in further granularity: regional, location-level and department level. Importantly, no employee-level data is exposed, thereby maintaining privacy and eliminating any PII related risks.

Operational excellence on autopilot

Once the ComplianSer™ is rolled-out, requirements are through real-time tracking. Templates can be configured to automatically re-enforce periodically (per quarter, every year, etc.) as per company policy.

Additionally, any changes to the requirements are automatically deployed through the system for immediate action.

The intuitive UI gives a “heads-up” for any possible upcoming items that need to be addressed to stay up-to-date on every document needed for smooth operation.

The templates may be intended for individual employees (such as employee license, agreement) or for the business or locations under it (such as city license).

The Auto Pilot engine manages all document related tasks such as certification/credential expiration, document sign/acknowledgement and eliminates human inefficiencies.

To ensure compliance, proactive intelligent alerts – without filling your inbox – provide gentle reminders to complete upcoming tasks to ensure compliance. Alerts are designed such that you view the dashboard only as needed.
Through a few guided clicks, all outstanding tasks can be completed– including acknowledgements, initials & signatures. It doesn’t
get any simpler than that.

Programming Interface (API)

ComplianSer™ basic compliance module is integrated into partner’s platform through Application Programming Interface (API) with Single-Sign-On (SSO).

1. The client is enabled by partner’s service/ operations team for ComplianSer™ access.

  • ComplianSer™ will auto import only the necessary relevant company data (employee fields and company information) in read-only format.
  • ComplianSer™ does not modify the data, and any changes to company data is done through partner’s client interface. Changes to client data are automatically imported into the integrated compliance module. This ensures data integrity, single point data entry and maintains single system of record.

2. The company admin/ trusted advisor get admin privileges for ComplianSer™ by default and creates various templates as needed for the company’s operations. ComplianSer™’s easy to use wizard converts PDF documents into electronic, legally binding compliance requirements. These may be employee agreements, policy documents, handbook or licenses, permits and other credentials.

3. The templates are auto-assigned based on employees that belong to one or more departments, locations or companywide. Further, any of the templates can be automatically reassigned on a regular, periodic basis through their properties as setup by the admin.

4. Each active employee of the company uses their current login credentials (that they use to login to partner’s platform) and go to the Integrated Compliance Center (by clicking on the button/link with ComplianSer™ logo) to complete their tasks that may include viewing, uploading or signing documents, as well as monitor and enforce compliance as per their roles and privileges.

Pricing is based total employee count for the company and is charged per employee per month.
